What the work covers
This is ledger and accounting-record support. MATTLY can capture agreed customer invoices, supplier invoices and credit notes from authorised source documents, allocate receipts and payments already received or made, reconcile agreed balances and identify exceptions. The service does not transfer collection, purchasing, payment or stock-control responsibilities to MATTLY.

Customer balances: reliable records for your action
Review invoices, receipts, credit notes and allocations before identifying overdue items. A useful schedule distinguishes amounts due, disputed balances and items awaiting documentation. MATTLY does not contact customers to request settlement as part of this service.
Supplier balances: compare before you pay
Compare supplier statements with recorded invoices, credits and payments where the relevant statements and documents are supplied. Highlight missing invoices, possible duplicates and allocation differences. MATTLY does not contact suppliers or prepare or execute supplier payments.
What the ageing means
Confirm whether the schedule ages balances from invoice dates or due dates. Credit terms affect whether an amount is overdue. Do not assume the largest or oldest item is ready for payment or collection without checking the underlying records.

- Customer or supplier balance schedules within the agreed scope.
- Outstanding-item summaries and reconciliation queries.
- A clear record of matters requiring documents, clarification or approval.
Why it matters
Reliable debtor and creditor ledgers give you a clear list of balances and exceptions to act on. MATTLY maintains and explains the accounting records; you retain the commercial relationship, collection decisions and payment decisions.

What you provide
The exact checklist depends on your systems and the agreed work. It may include:
- Customer and supplier account records for the agreed period.
- Relevant invoices, credit notes, statements and receipt or payment references.
- Details of known disputes, adjustments and prior follow-ups.
Do not send these records through the public enquiry form. Agree a suitable sharing channel and authorised access first.

What this looks like in practice
A supplier statement includes an invoice absent from your records. The query separates the missing document from a timing difference or an already-recorded payment, so the next action is clear.
Know which balances need a follow-up.
Separate amounts not yet due from overdue balances. Check disputes, credits and allocations before chasing a payment.
Bars start at R0. A full track represents R40 000.
R40 000 of R80 000 is overdue. Ageing gives follow-ups a starting point; an overdue balance is not automatically a bad debt.

Responsibilities & scope
You provide complete records, respond to queries and approve business decisions. MATTLY works within the agreed scope, raises unresolved information and communicates the position reached.
You retain authority over payments, credit terms and decisions about customers or suppliers. Standard debtor and creditor support does not include customer collections, supplier follow-up, sending demands, payment processing, procurement, purchase orders or supplier onboarding.
Stock and inventory administration are excluded. MATTLY does not maintain item masters or SKUs, capture stock quantities or movements, perform stock counts or transfers, calculate inventory valuations, or operate stock-control systems. A supplier invoice may still be recorded to the agreed accounting ledger without MATTLY maintaining the underlying stock records.
